Team and access
Roles, invitations, per-project view and edit access, seats and working in several workspaces.
A workspace holds your projects, your plan and your team. Each person has one role in the workspace and, for editors, viewers and clients, a list of projects they can open.
Manage people under Settings, Team. Owners and admins can invite, change and remove people; everyone else sees the list read-only.
Roles
| Role | What it can do | Projects |
|---|---|---|
| Owner | Everything an admin can do. Only an owner can change another owner or make someone an owner | Always every project, with edit access |
| Admin | Manages the team, Search Console connections, plan and billing, API keys and Sheets links, Agency settings, and project settings including deleting a project | Always every project, with edit access |
| Editor | Tracks keywords, edits groups, notes and reports in projects where they have edit access | All projects, or selected projects with View or Edit on each |
| Viewer | Can only look | All projects, or selected projects, always view-only |
| Client | Read-only client portal (Agency add-on) | Selected projects only, always view-only |
A workspace always has at least one owner. It can have several.
Invite people
- Open Settings, Team and click Invite people.
- Enter the email address.
- Choose a Role: Editor, Viewer or Admin. Client is listed while the Agency add-on is active.
- Choose the Project access (see below).
- Click Send invitation.
The invitation link works for 7 days and only for that email address. The person signs in or creates an account with it and confirms the email before joining. If the email cannot be sent, the link is shown to you once so you can share it yourself.
Open invitations are listed under Pending invitations with their expiry date. Click Revoke to cancel one.
Per-project access
- All projects: the person can open every project, including ones created later. Editors can edit them; viewers can view them.
- Selected projects: tick the projects and choose View or Edit for each. View is read-only. Edit covers keywords, groups, notes and reports.
- Viewers and clients only ever get View, whatever was chosen before.
- Owners and admins always have every project; their access cannot be limited.
- A person can be given up to 500 selected projects.
To change access later, click the edit button on the person's row, then Change next to Projects, and Save access. Change next to Role changes the role.
A project someone has no access to does not load for them at all: it is missing from menus, the dashboard and totals, and its address answers as not found. With view access, edit controls are hidden and a change is refused with a message that the access is view-only. Emails follow the same rule: a person only gets content about projects they can open.
Seats
- Free plan: one person. Invitations are not available, and an invitation sent before a downgrade cannot be accepted until the workspace is on a paid plan.
- Paid plans: the Team page shows the number of seats under This workspace. Paid plans list unlimited seats on the pricing page.
- Where a plan has a seat limit, members and pending invitations both count.
Remove a member
- Open Settings, Team and click the edit button on the person's row.
- Click Remove from workspace.
- Confirm.
- The person loses access to the workspace and all its projects right away.
- Their notes, reports and keyword changes stay.
- You can invite them again later.
- You cannot remove yourself, and the last owner cannot be removed.
- Admins can remove editors, viewers, clients and other admins, but not owners.
Hand over ownership
There is no separate transfer step. An owner opens the other person's row, clicks Change next to Role, picks Owner and saves. The workspace then has two owners. The first owner can stay, or change their own role afterwards. Admins cannot make someone an owner.
Several workspaces
You can belong to several workspaces, for example your own and one you were invited to. Each workspace has its own plan, projects, team and settings.
- Switch: open the account menu at the top right. Under Workspace you see every workspace you belong to; click one to switch. Serplyze remembers the last one you used.
- Create: in the same menu, click Create workspace and enter a name of up to 60 characters. You become its owner.
- A new workspace starts on Free, and each person can own one Free workspace. Upgrade the one you own to create another.
- Switching is refused while meeting mode is on.
Inviting people needs a paid plan. The Client role needs the Agency add-on. See Plans and billing.
