Project templates

Save one project's groups, rules, alert rules and reports as a template, then apply it to new or existing projects.

A project template is a copy of one project's setup, saved as data. Use it when you set up many sites the same way: build the setup once, then apply it to a new project or to many existing ones.

One template holds up to 500 groups, 100 page groups, 50 alert rules and 20 reports. A workspace keeps up to 100 templates.

Create a template from a project

  1. Open Settings and choose Agency.
  2. Check that the project you want to copy is the selected project. To save another project's setup, switch the project in the header.
  3. In the Project templates card, click the button that reads Save, the project's domain, as template.
  4. Enter a Template name of up to 80 characters and click Save template.

The template appears in the list with a summary of what it holds and the project it came from. Later changes to the source project do not change the template; save a new one to capture them.

Apply while adding a project

  • One project: while adding a project, pick a template under Start from a template. The template's brand terms, language and country fill the form, and you can still edit them. Its groups, rules, alert rules and reports are added when the project is created.
  • Several sites at once: in the multi-site setup, pick a template under Template for every site. It is added to every new project.

Both menus appear only when the workspace has at least one template and the add-on is active.

Apply to existing projects

  1. Open Settings, Agency and click Apply on the template.
  2. Under What to apply, tick the parts: Keyword groups and rules, Page groups, Alert rules, Reports, Brand terms, language and country.
  3. Under Projects, tick the target projects, or All projects.
  4. Click Apply to N projects.

One apply can target up to 200 projects. The result line says how many projects it was applied to and what was added.

What happens with existing items

Applying adds what a project does not have yet. Applying the same template twice adds nothing new.

  • A group, page group or report with the same name is kept as it is. For groups, the name is compared at the same level of the tree.
  • An identical alert rule is not added a second time.
  • Brand terms are added to the project's own.
  • Language and country are set to the template's values when the template has them. This is the one part that replaces what the project had; untick Brand terms, language and country to leave them alone.
  • Reports arrive with the template's internal recipients. A report without recipients starts paused until you add some.
  • The project's own limits still apply, for example the number of page groups and alert rules per project.

Copy one report to many projects

  1. Open Settings, Agency with the source project selected.
  2. In the Copy a report card, click Copy a report.
  3. Pick the Report, tick the target Projects and click Copy to N projects.
  • The copy carries the layout, sections, schedule, logo and your internal recipients.
  • Group filters follow groups with the same name in each target project. A section limited to a page group falls back to all pages.
  • Client recipients are not copied, so a copy without recipients starts paused.
  • A project that already has a report with that name is skipped.

Delete a template

Click Delete on the template and confirm. Projects it was applied to keep everything they got from it.

  • The Agency add-on on a paid plan.
  • Owner or admin role, to save, apply, copy and delete.
  • Templates are internal: clients never see them, and the Agency settings are locked in meeting mode.
